Planning wedding transportation: what people forget until it is too late

In short

Most weddings need three transportation elements: the couple’s car, a vehicle for the bridal party, and a guest shuttle between the hotel block and the venue. The guest shuttle is the highest-value booking and the one couples think of last, because it solves parking, drinking and the end of the night in one arrangement.

Wedding transportation is a logistics job wearing a luxury costume. The couple’s car is the easy part and the part everyone plans first.

The hard part is forty guests, two venues, a hotel block and a photographer who needs specific people in a specific place at a specific time.

Plan against the run sheet, not a pickup time

A wedding is a sequence, not a trip. We plan against your run sheet — ceremony start, photographs, reception start, last dance — rather than a list of pickup times, because the times will move and the sequence will not.

Weddings run late. Transportation should absorb that rather than add to it, which is why we hold vehicles rather than running them to a stopwatch.

The three vehicles most weddings actually need

Nearly every wedding resolves into the same three requirements. It is worth being clear about which you need before booking anything.

  • The couple’s car — an S-Class or luxury sedan, for the arrival that gets photographed
  • The bridal party — a limo Sprinter, where twelve people face each other rather than sitting in rows
  • Guest shuttles — a mini coach or motorcoach looping between the hotel block and the venue

The guest shuttle is the booking that matters most

A shuttle running between the hotel and the venue solves three problems at once: venue parking, guests drinking, and the awkward end-of-night scramble for rides.

It is almost always the highest-value vehicle on the booking and almost always the one couples consider last. At Laguna Beach, Malibu, Palos Verdes and canyon venues in the Santa Monica Mountains, it is not optional — guest parking at those venues genuinely runs out.

We build a loop schedule around your ceremony and reception times rather than a single pickup, so guests arriving over a ninety-minute window are all covered.

When to book

As early as you have a date and a venue. Wedding dates concentrate heavily into a few months of the year, and specific vehicles — particularly limo Sprinters and coaches — book out well in advance for Saturdays in spring and autumn.

Decorations that will not damage the interior are welcome with advance notice. Tell us when booking and we will confirm what works.

Questions

As soon as you have a date and venue. Saturdays in spring and autumn book out early, and limo Sprinters and coaches are the first vehicles to go.

If your venue has limited parking, or your hotel block is more than a few minutes away, yes. At coastal and canyon venues in Southern California it is effectively essential rather than optional.

Yes, with advance notice, provided the decorations will not damage the interior. Confirm the details when booking.
